Dear Colleagues:
We successfully converted the offices to additional meeting rooms on Friday. We are excited about the new space and the potential it provides for increasing communication and collaboration. Now that the changes have been made, I want to follow up last week’s email (attached), with a few updates and reminders on “rules of engagement” for our division.
UPDATES:
* Rooms 1703 (Darryl’s old office) and 1701 (Maurice’s old office) are now available to reserve for Operations Division team members only. Room 1703 can accommodate 8 people and Room 1701 can accommodate 4 people. Simply reserve these spaces the same way you reserve current conference rooms through Microsoft Outlook. * The other meeting spaces along the Board Room (Diane, Christina, and Lynn’s old offices) will also be added as reservable space. In the meantime, these rooms are drop-in only. We will update you once these rooms are available to reserve. * For flex spaces, removable nametags have been created for you to use when working from the office. The nametags will allow team members to know the flex space is being used for the day. Nametags are in a basket in the flex workspace area. Simply grab your nametag from the basket, place it in the nameplate, and remove your name when you are done for the day.
REMINDERS:
* During business hours the TEAMS application should always be turned on for chat and phone calls. You need to communicate and coordinate your schedule with your supervisor and be accessible during business hours in our hybrid work environment. * When in virtual meetings, your video should be turned on. * When working at the Dillon, please keep your voice level low given the open floorplan. If you need to take a long call, please use you the designated meeting rooms. * The private spaces are to be used as needed for calls, confidential conversations, and focused work. If you do not need a space for these reasons, please let others use it.
As mentioned in last week’s message, we will test this new configuration for the next six months and adjust as we learn, so please let us know what you think. Do not hesitate to reach out to me or your manager if you have any questions about how these pertain to you. Thanks again for all you do every day!

Hi everyone,
As a follow up to Michael’ message on Monday, the calendars have been created for the meeting spaces along the Board Room. These spaces can be reserved for no more than 2 hours at a time.
* Room 1724 (Lynn’s office) has a 4-top table with whiteboard. * Rooms 1727 and 1728 (Christina and Diane’s offices) retained desks and monitors for focused work and calls.
In addition, Room 1703 is in the process of being set-up as a Teams room (like 1704 and 1705). For now, there is a microphone near the screen. Additional ones will be added to the table soon.
Lastly, just an additional reminder to lock your computers screens when you are away from your desk. Safety first! 😊
